SOOS Meetings & International Workshops

This portal allows you to register for the SOOS committee meetings and international workshops being held in Hobart, Tasmania, Australia from 8 to 12 June 2015.

The meetings and workshops will be held at The Institute for Marine and Antarctic Studies (IMAS) campus located at 20 Castray Esplanade, Battery Point TAS 7004.

Note: There is a cost to attend the workshop on 11 & 12 June, "Implementing a Southern Ocean Observing System" (see below). The cost is AUD$77 and the workshop fee can be paid securely online when registering. Due to the low cost of the workshop we are only accepting credit card payments at the time of registration.

A major festival is being held in Hobart starting on 12 June. You need to book accommodation early. Accommodation will be limited for the night of 12 June and will likely be more expensive at all accommodation venues in Hobart.

SOOS Supported Participants

If you are receiving SOOS support for accommodation please book at the Travelodge only. You will be reimbursed for the Travelodge's nightly rate, including daily breakfast for one.

General Information

Weather

During the conference the daily mean maximum temperature is 12.0C and the mean minimum temperature is 5.2C. Visit the Bureau of Meteorology for more information.

Weather in Hobart can be variable during June, so please bring warm clothing, especially for the evenings.

Dress Code

Dress throughout the conference is neat casual.

Privacy

Conference Design Pty Ltd will gather and record personal information necessary for your attendance at the conference.

Personal information will be gathered, stored and disseminated in accordance with the National Privacy Principles.

Payment Policy

Payments is due when booking and can be made online via Visa, MasterCard or American Express. All accommodation accounts must be settled with your hotel on checkout.

Confirmations and Tax Invoices

A tax invoice will be emailed once your registration has been submitted. All prices are quoted in Australian Dollars (AUD$) and include GST.

Insurance

The registration fees do not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions.

Neither the Committee or Conference Design Pty Ltd covers individuals against the cancellations of bookings for any reason including cancellation or postponement of the Conference or for theft or damage to belongings.

Registration Cancellation Policy

Cancellations that are notified in writing by 10 April 2015 will be eligible for a refund. Cancellations notified after this date will not be eligible for any refund, however another person may attend the Conference.

Registration Restrictions

Due to strict visa requirements for the countries listed below, registrations and presentations will not be confirmed until the applicant has obtained a visa.

Benin, Burkina Faso, Cape Verde, Cote d'Ivoire, Gambia, Ghana, Guinea, Guinea-Bissau, Liberia, Mali, Niger, Nigeria, Senegal, Sierra Leone, Togo, Cameroon, Kenya, Somalia, Iran, Pakistan, Algeria, Libya, Egypt.

Privacy

Information collected when you register for the Conference will be only used for the purposes of planning and conducting the Conference. Your contact information may also be provided to the host organisation.

A delegate list may be produced that will include your name, organisation and suburb. Consent to be included on the delegate list may be withheld when completing the online Registration Form.

 
Once you have completed your registration you will be able to re-visit your record and update your personal contact information at any time.

 

Conference Cancellation or Postponement

The members of the Committee and Conference Design Pty Ltd do not accept any liability for losses incurred in the event of the Conference being cancelled or postponed due to an unforeseen event or any other event that renders performance of this conference inadvisable, illegal, impracticable or impossible. An unforeseen event shall include, but shall not be limited to: an Act of God; infectious disease outbreak, industrial disruptions, service provider failures, governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation; or any other emergency.

In the event the Conference is cancelled no refunds will be issued. All available funds, after cancellation expenses, will be credited towards a future Conference held by the hosting organisation.

Credit Card Payments

Credit cards appear as Conference Design Pty Ltd on your card statement. When using the online payment system credit card payments are processed directly by ANZ eGate and Conference Design does not store or transmit your credit card details. ANZ eGate is a secure and PCI compliant platform.
